Job Description
We are looking for a creative, organized, and detail-oriented Wedding and Event Manager to oversee the planning and execution of weddings and events at our venue. The ideal candidate will be responsible for coordinating all event details, managing client relationships, and ensuring seamless event execution. This role requires a strong ability to manage multiple tasks, work under pressure, and deliver exceptional service that exceeds client expectations. Key Responsibilities: Event Planning: Collaborate with clients to understand their vision, preferences, and requirements for weddings and events. Develop event concepts, timelines, and detailed plans to ensure successful event execution. Vendor Management: Coordinate with external vendors (caterers, florists, decorators, photographers, etc.) to ensure they deliver quality services on time and within budget. Negotiate contracts and pricing as needed. Budget Management: Assist clients in creating and managing event budgets, ensuring that all services, decorations, and catering costs are within the agreed-upon budget. Team Coordination: Supervise and lead the event planning team, including staff on-site during events, to ensure smooth operations. Ensure that all team members understand their roles and responsibilities for each event. Logistics & Operations: Oversee event setup, decoration, and breakdown. Ensure that all logistics, including seating arrangements, audio-visual needs, and technical support, are handled efficiently and professionally. Guest Services: Ensure exceptional service for all guests before, during, and after the event. Handle guest inquiries and address any issues or concerns promptly. Timeline Management: Create and maintain a detailed event timeline, ensuring all tasks and milestones are completed in a timely manner. Event Coordination: Manage the flow of events, from the arrival of guests to the event conclusion. Troubleshoot any problems that arise on-site and resolve them efficiently to ensure a seamless experience. Client Communication: Maintain constant communication with clients to keep them informed of event progress. Address any changes or special requests and ensure they are met. Marketing & Promotion: Collaborate with the marketing team to promote weddings and events. Attend expos and networking events to attract new clients and build brand awareness. Post-Event Evaluation: Conduct post-event debriefs with clients and internal teams to assess the event's success, gather feedback, and identify areas for improvement. Health & Safety Compliance: Ensure that all events adhere to health, safety, and legal regulations, ensuring a safe environment for all guests and staff. Desired Attributes: Ability to remain calm under pressure and adapt to changing circumstances. Strong networking skills to build relationships with vendors and potential clients. Knowledge of the latest trends in weddings and event planning. Passion for event planning and delivering exceptional experiences.
