Job Description

Job Title: Personal Assistant to the Director Location: Kosikala, Mathura Job Summary: We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to provide administrative support to our Director. The successful candidate will ensure seamless day-to-day operations, coordinate complex schedules, and maintain confidentiality. Key Responsibilities: Administrative Support 1. Manage Director's calendar, scheduling appointments, meetings, and travel arrangements. 2. Coordinate meetings, conferences, and events, including logistics and materials. 3. Prepare and distribute meeting minutes, agendas, and supporting documents. 4. Develop and maintain filing systems, both physical and digital. Communication and Correspondence 1. Screen and respond to emails, phone calls, and messages on behalf of the Director. 2. Prepare and edit correspondence, reports, and presentations. 3. Develop and implement effective communication protocols. Organizational and Time Management 1. Prioritize tasks, manage deadlines, and ensure timely completion of projects. 2. Coordinate multiple projects simultaneously, maintaining attention to detail. 3. Anticipate and resolve potential scheduling conflicts. Confidentiality and Discretion 1. Maintain confidentiality on sensitive and confidential matters. 2. Handle confidential documents, reports, and communications. Travel and Expenses 1. Arrange domestic and international travel, accommodations, and transportation. 2. Process expense reports, ensuring compliance with company policies. Special Projects 1. Conduct research, gather data, and analyze information as requested. 2. Develop and implement process improvements. Requirements : Graduate or diploma or equivalent required; associate's or bachelor's degree preferred. 2+ years of experience as a personal assistant or administrative assistant. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Excellent communication, organizational, and time management skills. Ability to maintain confidentiality and handle sensitive information. Flexibility and adaptability in a fast-paced environment.
