Job Description

Role Overview

Our Client is seeking a proactive, detail-oriented Hospitality & Facilities Manager to oversee all guest-facing and back-of-house operations. You will ensure seamless visitor experiences, efficient vendor partnerships, and high facility standards all while optimizing cost and enhancing quality.

Key Accountabilities

  • Guest & Event Management

    • Efficiently handle VIP and guest visits coordinate with protocol teams, reserve venues, manage calendars, and support seating/F&B arrangements.

    • Anticipate guest preferences (themes, dietary needs), build conversation scripts for waiting areas, and supervise F&B delivery.

  • Vendor & Contract Oversight

    • Maintain a robust vendor database and multi-year contracts to minimize costs.

    • Lead vendor selection: evaluate F&B partners, negotiate pricing and timelines, audit delivery, manage crockery/cutlery, and initiate payment processes.

  • Procurement & Inventory Control

    • Oversee timely procurementsecure approvals, follow up on deliveries, and validate invoices.

    • Monitor usage of high-value supplies, manage perishables, maintain stock levels, and arrange safe storage.

  • Team Leadership & Training

    • Mentor F&B staff in plating, service standards, and trends.

    • Foster improvements by collaborating with the facilities team.

  • Facilities & Cost Management

    • Ensure continuous upkeep of equipment and premises.

    • Identify and implement cost-saving initiatives without compromising quality.

Execution Responsibilities

  • Coordinate with the Chairmans Secretariat and protocol teams for executive visits

    • Book rooms, manage scheduling, lead pre-meeting prep, F&B theming, staffing, and seating plans

  • Lead vendor evaluation and selection

    • Create preference-based frameworks, maintain database, secure favorable pricing and punctual deliveries, manage event logistics (cutlery, crockery, laundry)

  • Supervise purchasing operations

    • Oversee approval process, vendor follow-ups, documentation, billing, rejection credits, and payment authorizations

  • Drive staff growth

    • Train on hospitality service enhancements, plate presentation, and operational standards

  • Oversee inventory systems

    • Track consumption, reorder perishables, ensure adequate storage, and audit consumption variances

Qualifications & Skills

  • Bachelors degree in Hospitality Management, Business Admin, or related field

  • 5+ years in hospitality, F&B procurement, or facilities coordination (high-end settings preferred)

  • Strong vendor negotiation and contract-management experience

  • Exceptional organizational, multitasking, and attention-to-detail skills

  • Excellent communication, interpersonal, and team leadership skills

  • Understanding of hospitality trends, budget control, and guest-oriented service design

  • Proficiency in managing hospitality software and office tools

Key Performance Metrics

  • On-time guest visit delivery and zero infrastructure delays

  • Vendor contract value savings year-over-year

  • Supply delivery lead times and accuracy

  • Guest satisfaction (survey/feedback ratings)

  • Facility maintenance adherence and cost efficiency
