Job Description
The Executive Assistant (EA) provides high-level administrative support to senior leadership by managing schedules, handling communications, coordinating meetings, and performing a variety of tasks to ensure seamless operations. The ideal candidate is proactive, detail-oriented, and capable of handling sensitive information with discretion. Key Responsibilities: 1. Calendar and Schedule Management: Manage the executives daily schedule, meetings, and appointments. Prioritize and coordinate time-sensitive tasks effectively. 2. Communication and Correspondence: Handle incoming and outgoing communications on behalf of the executive. Draft, review, and edit emails, presentations, and reports. Maintain professional relationships with clients, stakeholders, and internal teams. 3. Meeting Coordination: Organize and schedule meetings, including preparing agendas and taking minutes. Coordinate with multiple departments to ensure effective follow-ups on action items. 4. Travel Arrangements: Plan and book travel itineraries (flights, accommodation, transportation). Prepare travel expense reports and ensure timely reimbursement. 5. Office Administration and Support: Manage confidential information with integrity and discretion. Maintain files, records, and other documentation for easy retrieval. Act as a liaison between the executive and various departments. 6. Event Planning and Project Assistance: Assist in organizing corporate events, conferences, or team off-sites. Support the executive on ad hoc projects and initiatives. Qualifications and Skills: Bachelors degree or equivalent experience in business administration or related field. Proven experience (3-5 years) as an Executive Assistant or in a similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. Strong written and verbal communication skills. Exceptional organizational and multitasking abilities. Ability to work under pressure and meet tight deadlines. High level of professionalism, discretion, and confidentiality. Preferred Skills: Experience using tools like Google Workspace, Slack, and Zoom. Knowledge of expense management software. Familiarity with project management methodologies (e.g., Agile).
