Job Description

An Event Operations Executive is responsible for overseeing the planning, coordination, and execution of events. You will collaborate with clients and internal teams to understand event requirements and objectives, creating detailed event plans that include timelines, budgets, and task assignments. Furthermore, you will be responsible for identifying, negotiating with, and managing vendors for services such as catering, AV equipment, and decor. It is essential to maintain strong relationships with stakeholders, including sponsors, venues, and other collaborators. On the event day, you will oversee the setup and breakdown of event spaces, supervise staff, and ensure seamless execution. Handling permits, licenses, and compliance with regulations, as well as managing equipment, supplies, and transportation logistics, are also part of your responsibilities. Monitoring budgets, tracking expenses, and reporting financials to stakeholders will be crucial. You are expected to seek cost-effective solutions without compromising quality and address any last-minute changes, challenges, or emergencies during events. Post-event activities will include conducting evaluations, gathering feedback for improvement, and ensuring timely submission of reports, invoices, and documentation. Proven experience in event planning, coordination, or operations is required, along with excellent organizational and multitasking abilities, strong communication and interpersonal skills, proficiency in project management tools and software, and the ability to work under pressure. Preferred qualifications include a Bachelor's degree in Event Management, Business Administration, or a related field, certifications in event management (e.g., CMP, CSEP), and experience with corporate events, conferences, or large-scale functions. The work environment may involve irregular hours, including evenings and weekends, with on-site presence required during events.
