Job Description
EA to Director
Years of experience :- 3 to 6 Years
Budget:- 10 LPA max
Notice period:- 30 Days
Location :- Mumbai
Provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of his day-to-day affairs, and most effective use of his time. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate especially in the Director’s absence.
Role Requirement
Any Bachelor's / MBA(Preferred)
Minimum 3 years in a similar role
Should be open to travel pan India / Abroad
Must Have
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Outstanding verbal and written communications skills
- High level of Discretion and confidentiality
Responsibilities
- Manage Director’s electronic diary, assessing priority of appointments and reallocation as necessary
- Manage Director’s travel arrangements (including visas/accommodation).
- Maintain records of Director’s contacts.
- Processing and drafting Director’s correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director.
- Screen calls, enquiries and requests, and deal with them when appropriate.
- Engage with teams to understand issues, challenges, update to project plans and then organise meetings to resolve them
- Proactively engage with a set of clients and try to set meetings etc
- Ensure that urgent enquiries and emerging issues are brought to the Director’s attention
- Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
- Produce documents, briefing papers, reports, and presentations for the Director.
- Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers
- Assist in the preparation of agendas and capture salient points, decisions, action items and status in meetings such as Client meetings, Project Meetings
- Support the MD to manage information exchange and ensure effective communication occurs across key stakeholder groups
- Perform tasks that will free up the MD’s time
- Meet and greet visitors at all levels of seniority.
- Other duties, consistent with skills and experience, as directed by the MD
