Job Description

The job involves coordinating and managing administrative and logistical aspects of office activities, including workshops and meetings. You will be responsible for updating financial records, bills, and vouchers in Tally software, as well as preparing daily expense vouchers and processing employee reimbursements. It will be your duty to revise and update policies and procedures as needed and maintain all administrative documentation to ensure contract compliance. In addition, you will create, update, and manage records and databases efficiently, generating reports and presentations containing statistical data as assigned. You may also undertake additional tasks related to finance and communications as requested. Managing office supplies inventory, placing orders as necessary, and compiling regular reports on expenses and office budgets will be part of your responsibilities. Establishing and maintaining a filing system for important and confidential company documents, responding to queries from employees and clients, and maintaining a company calendar while scheduling appointments are crucial tasks. You will also book meeting rooms as necessary, handle the distribution and storage of correspondence, and coordinate travel arrangements and accommodations. Ensuring proper packaging and identification of shipments with shipping information, communicating with suppliers, and reviewing deliveries against orders are essential duties. Moreover, preparing and maintaining records of shipped goods and manifests, scheduling both in-house and external events, and preparing and submitting well-structured and comprehensive tender proposals within specified deadlines are also part of the job responsibilities.
