Job Description
Key Responsibilities: 1. Task Follow-Up: - Regularly follow up with staff on tasks and projects assigned by the MD. - Ensure deadlines are met and provide the MD with status updates. 2. Communication: - Communicate effectively with various departments to gather information and progress reports. - Draft and send emails, memos, and other communications on behalf of the MD. 3. Reporting: - Compile and present detailed reports on the status of ongoing tasks and projects. - Highlight any delays or issues and propose solutions. 4. Administrative Support: - Manage the MDs calendar, including scheduling meetings and appointments. - Handle incoming calls and correspondence, ensuring timely and appropriate responses. 5. Meeting Coordination: - Organize meetings, prepare agendas, and take minutes. - Follow up on action items from meetings to ensure completion. 6. Document Management: - Maintain and organize documents, files, and records. - Prepare and review documents, presentations, and reports. 7. Miscellaneous: - Perform other administrative tasks as required to support the MD and the executive team. Qualifications: - Graduated from Secretarial College - Proven experience as a Secretary, Administrative Assistant, or in a similar role. - Excellent Follow-Up skills. - Good command over English. - Shorthand - Strong organizational and time-management skills. - Excellent written and verbal communication skills. - Working knowledge of Microsoft Office/Gsuite (Word, Excel, Gmail). - Ability to multitask and prioritize effectively. - High level of professionalism and discretion. - Strong problem-solving skills and attention to detail.
