Salary: 7 LPA - 8 LPA
Notice Period: Immediate to 30 Days
Location ( WFH/WFO): Mahape, Navi Mumbai WFO
Interview process ( Virtual/ On-Site ): On-Site
Interview Rounds: 1st - Pre HR , 2nd- Aptitude Test, 3rd- Managerial Round    
Total and Relevant year of experience: 2-4 Years
Any other specifications: Sector: E-commerce, Supply chain Management, Logistics.

Job Description for Process Documentation Specialist – Back End Operations - Various

Clients:
We are looking for a Documentation Specialist to join our team and lead the long-term storage strategy and organization of our organization’s documents for easy access for our various departments and teams.
Documentation Specialist responsibilities include working with colleagues to ensure the consistency of documents, training employees on document usage, and organizing documents across the organization.
Ultimately, you will work with team members across the organization to ensure our organization’s documents are organized and easily accessible.

Responsibilities

  • Outline a long-term storage strategy.
  • Adhere to regulatory requirements.
  • Work with colleagues to ensure consistency of documentation practice across the company.
  • Train employees on efficient documentation usage
  • Assist with both internal and external audits.
  • Ensure documentation integrity.
  • Control access to documents.
  • Organizing archival systems.
  • Naming conventions for different versions of the documents, sorting, categorizing
  • documents for ease of use.
  • Retrieving Documents upon request.

Requirements and skills

  • Proven work experience as a Documentation Specialist or similar role
  • Outstanding organizational skills
  • Multitasking ability
  • Attention to detail.
  • Excellent written and verbal communication
  • Relevant training and/or certifications as a Documentation Specialist

WHAT YOU GET TO DO

  • Identify and implement standard processes and procedures for documentation.
  • Identify and implement processes for updating documents.
  • Record and manage process documentation.
  • Document cross-functional processes with clarity and precision.
  • Manage project scope, change control, and escalate issues when necessary.
  • Monitor document progress and performance.
  • Support and provide guidance to team to use the documentation for future purposes.

Position Overview.
A good Documentation Specialist must have excellent organizational skills since they are responsible for the storage and retrieval of documents across the organization. They also need good written and verbal communication skills, as they must talk with employees across the organization to ensure they have access to necessary information as needed.
Need to work on multiple documentation projects / clients and periodically set and achieve stretch goals.
Work with Management and develop project plans to address opportunities identified through process reviews
Develop a follow up schedule so periodical communication is possible to obtain accurate information.
Ability to summarize all information on demand to make sure we cover all loopholes and pay attention to details.
